Making a Reservation

To request on-campus housing accommodations for your conference, camp, or organization, please contact the Office of Housing and Residence Life at 703-993-2720 or Sheri Weathers at sweathe2@gmu.edu.

Accommodation Requests received by the Office of Housing and Residence Life (OHRL) will be processed for approval. Please note that submitting an Accommodations Request does not guarantee housing accommodations. Written confirmation will be provided with all approved requests.

Agreements are usually emailed to conference coordinators in March. These must be signed and the orginal signed copy must be mailed back to us.

Deposits are required for all groups except other Mason departments paying by Journal Voucher. 25% is due with return of agreement, 25% is due by 2 weeks before arrival, and the balance is due within 30 days of the invoice that is emailed to you after your departure.

Insurance is required for non-Mason groups. No later than two weeks prior to arrival, the conference will provide a copy of the certificate of insurance which names George Mason University and Century Campus Housing Management, L.P. d/b/a Campus Living Villages as additionally insured in the policy during the period the applicant is using University facilities. The policy will also waive the right of subrogation by George Mason University and Campus Living Villages by Century of the Commonwealth of Virginia. The insurance company will have a minimum best rating of “A” and be licensed to do business in the Commonwealth of Virginia. Insurance will have Commercial General Liability written on the standard 1993 ISO Occurrence policy form, with minimum limits of:

  • General Aggregate Limit $2,000,000
  • Products Completed Operations Aggregate Limit $2,000,000
  • Personal and Advertising Injury Limit $1,000,000
  • Each Occurrence Limit $1,000,000
  • Fire Legal Liability Limit $50,000
  • Medical Payments $5,000
Damages and lost keys are billed to the conference, not the indiviual guests. (Conferences are responsible for collecting these fees from their participants if they wish to hold the individuals liable.) Card keys are $10 to replace. Lost hard exterior keys are $5, and hard interior keys are $55.

Parking on campus requires a parking permit. Parking Services is open Monday - Friday from 8:30 AM-5 PM. Please make arrangements a couple weeks in advance if you plan to arrive outside of their office hours, so that they will have time to mail your passes.

The Office of Events Management offers a variety of camp and conference planning services to assist you in reserving meeting, classroom, and recreational space, as well as coordinating registration, meal, and parking arrangements. They are a great place to start for your other needs!return to top
